Choose Expense Management Software by Workflow

Use a practical selection matrix for receipt capture, reporting, spend controls, approval and accounting handoff.

Define the job before requesting prices

Choose between occasional employee reports, ongoing card-spend review and broader company spend controls. These workflows overlap but are not interchangeable. The directory separates dedicated report/reimbursement products, spend-control platforms and enterprise expense workflows. The labels are editorial guidance rather than a certification or market ranking.

Compare the full unit of cost

Ask whether pricing is per seat, active employee, report, card or workspace. Request the minimum user count, billing commitment, implementation charge, required additional products and support package. The checked Rydoo self-service page starts at five users; a low per-user figure alone would not describe the bill for a one-person team.

Test an exception, not only a clean receipt

Use a company-paid purchase, an employee claim, a foreign-currency item, a missing receipt and a policy exception. Ask who can edit each record, who must approve it and how edits are logged. A scripted submission demo does not establish that the full exception path works for your organisation.

Inspect the accounting handoff

Request the actual proposed export or integration mapping: accounts, projects, tax fields, currency, receipt links and approval state. An integration logo does not prove that every field you need is transferred. Reconcile a small test batch and confirm that repeated syncs do not create duplicates in your existing ledger.

Separate approval from settlement

Ask whether the product only records approval, initiates a payment or depends on another bank/payroll workflow. Verify available recipient countries, currencies, funding method and entity eligibility. A provider’s general reimbursement feature does not establish that your organisation or every employee can use it.

Know when a local report is sufficient

The free builder is useful for preparing a clear manual report and reviewing rows with an accountant. It has no shared account, receipt attachment archive, policy engine or actual payment execution. Move to a managed system when the cost of approval handoffs, receipt collection or recurring reconciliation justifies it; compare that cost using your own reporting volume.
